Position Summary

An Administrative Specialist is responsible for providing administrative support to the Field and Operations Managers as well as to the camp as a whole including general clerical, receptionist, and project-based work.  They serve as a liaison between the camp and Union Soccer Schools families assisting with enrollment, admissions, camp life, and camp operations.  

Position Objective/Purpose

We are seeking motivated Team members who believe deeply in the organization’s mission and who display a record of achievement in effective office management, building positive relationships and projecting a professional company image through all interactions with camp families, Team Members and Union Soccer School Executives. 

Position Scope Factors

  • Multiple locations in Pennsylvania (Examples include but are not limited to the following areas: Bryn Mawr, Doylestown,Ft. Washington, Malvern, Newtown Square, Plymouth Meeting)
  • Some travel required
  • Camp starts June 12th and ends August 18th
  • Monday  7:00am-4:00pm, Talen Energy Stadium Trip Day 7:30-4:00pm, 2 days 7:45am-4:00pm, Friday 7:45am-4:15pm (42.5 hours)

Essential Job Responsibilities

  1. Serve as a liaison between the camp and Union Soccer School families on the phone or in person. Communicate with camp families through written and/or verbal contact. Ensure effective communication with camp families throughout the summer
  2. Perform excellent customer service by fielding all phone calls and communicating messages appropriately in a timely manner
  3. Assist families with enrollment, admissions, camp life, and camp operations
  4. Collect and post payments; record data for billing  
  5. Assist in coordinating site budget, payroll and inventory
  6. Prepare coaches binders for the next week of camp to include attendance sheets, roster, and information on campers
  7. Update camper records and record information in camper database
  8. Assist in coordination of special events and field trips; Collect and maintain all permission slips for the weekly field trip to Talen Energy Stadium. Contact any families who have not handed in their permission slip to ensure the camper(s) is able to attend the trip to Talen Energy Stadium.
  9. Throughout the week collect attendance sheets, drink logs, service recoveries, and documentation from the nurse to be returned to HQ office in Bryn Mawr, PA at the end of each week
  10. Respond to incoming emails
  11. Perform general clerical duties that include, but are not limited to, bookkeeping, copying, mailing and filing
  12. Help to ensure that camp office/tent is clean, organized, and well-maintained
  13. Inventory and order office supplies
  14. Work effectively with co-workers and collaborate on various responsibilities
  15. Provide input to Field Manager regarding topics for weekly team meetings and daily briefings.
  16. Ensure all organization policies and procedures are maintained and upheld (Union dress code, safety standards, core values, etc.)
  17. Provide administrative leadership and  ensure a smooth execution of camp on a daily basis
  18. Exhibit ESF Core Values at all times and to adhere to all company policies
  19. Other responsibilities as assigned
  20. Encourage respect for personal property, camp equipment and facilities
  21. Organize and prepare VIP badges for distribution to campers on the day of the trip to Talen Energy Stadium
  22. Follow the Union Soccer Schools Code and maintain the “Union Soccer Schools Look” at all times

Experience Requirements

  1. At least 1 year work experience in related field

Education Requirements

  1. Bachelor’s degree

  1. Outstanding communication skills which include the ability to use clear, concise and grammatically correct written and oral language in all aspects of professional interaction with campers, their families, peers, leadership team and the larger community
  2. Basic accounting skills with a high degree of accuracy
  3. Knowledge of Microsoft Office  

Reporting Relationships

  1. Reports directly to and takes direction from the Field and Operations Managers  

Working Conditions and Physical Requirements

  1. Ability to push/pull, lift and carry a minimum of 35Ibs
  2. Ability to respond to emergency situations which may require running (up to 1 mile in some cases) and climbing stairs
  3. Good physical condition which enables candidate to execute all responsibilities associated with this position
